General Terms and Conditions for the European PLACE Conference (BDVI)

Registration

Your registration is done via the online form that can be found here:
https://place-conference.eu/registration/.

YYour registration is considered accepted if we do not declare rejection within 7 days. Regardless, you will receive a registration confirmation from us. If the maximum possible number of participants has been reached at the time of registration, the registrant will be placed on a waiting list. The participation fees (e.g., Early Bird) at the time of registration apply as listed below.

Participation Fees and Due Date

  • Standard fee: 1400 € +VAT
  • Early Bird¹ fee: 990 € +VAT
  • bdvi Members: 1200 € +VAT
  • bdvi Members Early Bird¹: 921 € +VAT
  • Presenter*: 650 € +VAT
  • Student²: 500 € +VAT

* Only one speaker per presentation is eligible for a reduced fee. Poster presentations do not qualify for a reduction.
¹ Early Bird registration will be open until 31.12.2024 and payment by 17.01.2025.
² Student discount upon request and upon presentation of proof of enrollment.

You can participate at a reduced fee if you are a BDVI member at the time of registration and have informed us of this in advance (during registration). The participation fee for BDVI members is €1200 plus VAT; the Early Bird participation fee for BDVI members registering by 31 December 2024 is €921 plus VAT. If the participant joins BDVI at the time of registration (https://bdvi.org/ueber-bdvi/mitglied-werden/), the discount can also be granted.

Additional companions of conference participants pay for the evening event €100 per person, including VAT.

Due date for participation fees

  • Registration from 01.01.2025: Participation fee due within 14 days from the registration date;
  • Early Bird registration until 31.12.2024: Participation fee due by 17.01.2025;
  • For last-minute registrations from 12.05.2025: Participation fee due by 26.05.2025.

Cancellation

Deadline

You can cancel your registration at any time for a fee. Cancellation fees of €650 + 19% VAT, and €500 + 19% VAT for students, apply for cancellations until 1 February 2025. For cancellations after 01.02.2025, the full participation fee is due. No refunds will be made.

Form

The cancellation declaration must be in text form. An email to info@place-conference.eu is sufficient. We ask for your understanding that we do not accept cancellations by phone. If you do not cancel in time, we must insist on payment of the full participation fee.

Program Changes and Cancellation of the PLACE Conference by BDVI

We reserve the right to cancel the PLACE conference. In any case, we strive to inform you of cancellations or necessary changes, especially a change of speakers, as early as possible. Program changes are expressly reserved, provided the overall character of the event is maintained. In particular, we reserve the right to switch to an online format to avoid an entire cancallation of the conference. In this case, you have the right to cancel free of charge. A change of speakers, insignificant changes in the event schedule, or a reasonable relocation of the event location do not entitle you to a price reduction or withdrawal from the contract. If we have to cancel the conference by 31.01.2025, we will refund the paid participation fee. Further claims are excluded, except in cases of intentional or grossly negligent behavior by BDVI employees or other vicarious agents.

Protection & Hygiene Measures

BDVI reserves the right to introduce 3G, 2G, or 2G+ measures or to convert in-person events to online events at short notice to protect all participants in the event of a corresponding development of Corona infection numbers or a comparable pandemic situation.

Hotel Bookings

Participants are generally responsible for their accommodation. For our seminars, we usually have a limited room contingent blocked. The reservation link for Le Méridien Munich is shared with the registration mail.

The link is available until 27.04.2025. Please note that bookings at a later date may no longer be available at the same rate. Please make the room reservation yourself and inform the hotel that you are a participant in our seminar. Please inform the hotel early about changes or cancellations. For reservations abroad, please provide your credit card number.

One week before the conference begins, we will send you further information about the event and the schedule. Information about the schedule can also be found on https://place-conference.eu/.

Accompanying Work Materials

Any accompanying work materials provided (scripts or presentations or, in exceptional cases, a manual) can be downloaded in digital form if you have provided your email address during registration. BDVI is not liable for the content of the seminar lectures or accompanying work materials unless there is intentional or grossly negligent misconduct by BDVI or its vicarious agents.

Copyright

The issued and online available work materials are protected by copyright. The speakers and creators are the holders of all industrial property rights (especially copyright) to their own lectures and work materials. The contributions (scripts, lectures, posters, etc.) may not be publicly shared or commercially used without the express written permission of the intellectual property owners. . We make the contributions available to our participants for private use.

Privacy / Data Protection

Data transmitted to us is stored in the EDP system. We use this data exclusively to fulfill contractual obligations (Art. 6 para. 1b GDPR), based on your consent (Art. 6 para. 1a GDPR), or due to legal requirements (Art. 6 para. 1c GDPR). If you have provided us with your email address, you can object to its use for advertising purposes (BDVI and European PLACE) at any time at info@place-conference.eu. We process personal data in accordance with the provisions of the EU General Data Protection Regulation (GDPR) and the Federal Data Protection Act (BDSG). Participation Certificates

Upon request, we will issue a certificate of participation for the event of BDVI, evidenced by signature.
